AI in Accounts Payable: A Practical Workflow Guide

Accounts payable is where most finance teams should start with AI. The work is high volume, repetitive, structured, and rule-bound — exactly the profile where models do well and where mistakes are cheap to catch before money moves.

This guide is the workflow we implement for clients: five steps, what AI actually does at each one, which tools handle it, and where a human must sign off.

The five-step AI accounts payable workflow

Step 1 — Capture: get every invoice into one inbox

Route all supplier invoices to a single AP email address (ap@yourcompany.com) and connect it to your AP tool. AI reads PDFs, scans, and email bodies and extracts supplier name, invoice number, date, currency, line items, tax, and totals.

What to configure: a dedicated AP inbox, supplier instructions to bill that address only, and a rule that anything arriving elsewhere gets forwarded, not paid.

Step 2 — Extract and code: let the model propose, not decide

The model proposes the GL account, cost centre, VAT treatment, and department based on the supplier's history. After roughly 3–5 invoices from the same vendor, accuracy on coding is usually high enough to accept by default.

Control checkpoint: accept AI coding automatically only for vendors with a clean history and invoices below a threshold you set (a common starting point is ₪2,000 / $500). Everything else goes to review.

Step 3 — Match and validate: three-way match, automated

The system compares invoice → purchase order → receipt or delivery confirmation. AI is genuinely useful here because it handles fuzzy matches: partial deliveries, currency differences, shipping added after the PO, or a vendor renaming a line item.

Flag rules worth setting from day one:

    CheckFlag when
Duplicate invoiceSame vendor + amount + date within 60 days
Price varianceInvoice line exceeds PO by more than 5%
New bank detailsAny change to a vendor's payment details, ever
Round-number anomalyFirst invoice from a new vendor at a round amount
Out-of-pattern spendAmount more than 3x the vendor's trailing average

Step 4 — Approve: route by rule, escalate by exception

Approval routing should be deterministic, not AI-generated. Set thresholds by amount and cost centre. AI's job is to summarise the invoice for the approver — what it is, which budget it hits, whether it matches contract terms — so approval takes seconds instead of a document review.

Step 5 — Pay and reconcile: batch, then close the loop

Approved invoices flow into a payment batch. After payment, AI matches bank transactions back to invoices and closes them out. Anything unmatched after 48 hours becomes an exception queue item — that queue, not the invoice pile, is where your AP person should spend their time.

    Tool examples by stage

    StageTools commonly used
Capture & extractionRamp, Bill.com, Dext, Hyperscience
Coding & GL syncRamp, Bill.com, Xero and QuickBooks native AI coding
Three-way matchRamp, Tipalti, Coupa (larger teams)
    ApprovalsRamp, Bill.com, Approve.com
    PaymentsMelio, Tipalti, Wise Business, Mercury
Israel-specific VAT & Sha'am filingRivhit, Hashavshevet, Priority, Green Invoice

For an Israeli company with a US subsidiary, the common pattern is a US-side stack (Ramp or Bill.com plus QuickBooks) alongside an Israeli bookkeeping system that handles VAT reporting and Sha'am requirements. Do not try to force one tool to do both.

The controls that make this safe

AI in AP fails in one specific way: it makes fraud faster, not slower, if you automate approval instead of automating data entry. Three non-negotiables:

    1. Bank detail changes never auto-approve. Verify by phone to a known number, not the number on the invoice.
    2. Keep a human approver above your threshold. AI prepares; a person releases money.
    3. Review the exception queue weekly. If the queue is empty, your rules are too loose.

What good looks like after 90 days

    • 80–90% of invoices coded without manual intervention
    • Invoice-to-approval time down from days to under 24 hours
    • Duplicate payments at zero
    • Your AP time spent on exceptions and vendor terms, not typing

    Frequently asked questions

How is AI used in accounts payable?

AI reads incoming invoices and extracts structured data, proposes GL coding based on vendor history, performs three-way matching against purchase orders and receipts, flags duplicates and anomalies, and reconciles payments against bank transactions. Approval and payment release stay with a human.

Will AI replace accounts payable clerks?

It replaces the data-entry portion of the role, not the role. The work shifts to exception handling, vendor management, payment terms negotiation, and controls — higher-value work that requires judgement.

What is the fastest way to start?

Start with capture and extraction only. Route every invoice to one AP inbox, connect an extraction tool, and keep your existing approval process unchanged for the first month. Add automated coding once you can see the model's accuracy on your own vendors.

Is AI accounts payable compliant in Israel?

Yes, provided your invoice retention and VAT reporting run through a system that meets Israeli requirements, including the Sha'am invoice allocation number rules. AI tools sit on top of that system; they do not replace it.
